• Student Information - contact information, address, passport information, date of birth.

• Contact information for both parents.

• Confirm the students travel plans.

For this task, you will need to download, print, sign, scan and upload two forms from the Santa Cruz County Office of Education. You will also need to upload a scan of the picture and signature pages of the student’s passport.

You will need to complete the MATE registration process. Go to this link to register. You will register as: (Students) 2026 MATE ROV Competition World Championship RANGER Class

You will be asked to Join an existing group.

You will be asked to read and agree to multiple waivers.

Once you have completed the MATE Registration process, please fill out this online form: Trip to Worlds - MATE Registration to let us know that you are registered.

Please make your payment by Friday May 15, 2026. The cost of the trip is $3,500 which includes flights, hotels, meals, shipping, luggage fees and a day of fun activities. All team members are invited to go on the trip regardless of ability to pay. Please pay what you are comfortable paying. If it is $3500, great! If it is $0, great!. If it is more, great!

Once you have made your payment, please fill out this form Trip to Worlds - Payment to let us know that you have made your payment.

Donation using Company Matching Program
If your company has a matching program, your donation and their match will help cover the cost of other students.

You may need X Academy’s EIN: 46-4358694.

The X Academy is registered with the Benevity company matching program. If your company uses another program, please contact Tim and Barbara at robotics@xacademy.org so that we can register with that program.

Minor children (under 18 years old) traveling to Canada with adults other than their parents or legal guardians must have written authorization from both parents. You must provide the following:

• Letter signed by both parents authorizing your child to travel with the X Academy.

• Copy of child’s birth certificate.

• Copy of both parents passport or government issued ID if passport is not available.

You will need to download this authorization letter, rename the letter to your student’s name, fill out, print, sign, scan and upload.

You will also need to provide the hard copy, signed original authorization letter to the X Academy. Either provide the letter to Tim or Barbara in person or mail the letter to:
